Executive Assistant/Team Leader, Core Business Services - Wellington

About the opportunity

EA Team Leader Role

As a Team Leader, you will be responsible for supervising a team of professional Executive Assistants. Your previous people management experience will help you to build effective relationships with important stakeholders and senior leaders. You will have autonomy and clear responsibilities, working in our friendly, collaborative environment. Lead the team of EAs through all aspects of the performance management cycle, including annual planning, mid-year and annual performance reviews, objective assessment and pro-active performance management, providing formal and informal feedback and coaching on an ongoing basis
Manage a team of EAs including management of workload, support allocations on a day-to-day basis
Identify and manage EA performance issues, with support from the EA Manager and HR function
Identify and mobilise opportunities for EA development through formal learning opportunities, experiences and coaching
Partner with the business to understand and forecast business requirements for administrative support
Executive Assistant Role

You will provide an exceptionally high level of administrative support to leading Partners & Directors, build an intimate understanding of their business that will enable the delivery of business goals.
Support PEDDs and on key processes such as account and revenue planning, client roadshows, and other major events
The ability to quickly understand the PEDDs’ key clients and stakeholders, build strong relationships with key client EAs to help secure time in client calendars, and to also help prioritise time across their various internal and external stakeholders
Organise and comprehensively manage diaries, arrange complex meetings, and organise extensive international travel and accommodation, whilst understanding the various regions and time-zones.
Provide in-box management as required to screen emails, respond, and otherwise action on behalf of PEDDs
Oversee all aspects of events, including agendas, logistics related to venue bookings, pre-reads, and personal requests – liaising with both clients and internal parties
Take ownership of relevant documentation including presentations, emails, agendas and papers for meetings with minimal input from the Partners
About you
Previous experience as an Executive Assistant
Previous experience managing a team successfully
Demonstrated experience in coaching, mentoring and developing team members; particularly being able to identify development opportunities along with refining capabilities and skill sets
Strong ability to build and maintain relationships across all levels of business
Ability to strategically identify and set expectations
Confidence in conversing with all levels of seniority
Effective communication skills with a demonstrated ability to persuasively facilitate opposing views
Ability to have difficult conversations and achieve positive outcomes
Proactive in problem solving
A mature and positive approach
Excellent administration background with a passion for working in a busy and varied role with multiple stakeholders
Strong MS Office knowledge: Word, Outlook and Excel
Experience and confidence working with Partners, clients and other stakeholders
Exceptional time management and organisational skills
Ability to understand professional pressures and remain resilient under these circumstances

Solid communication skills, both verbal and written
